Setup

The Demonstrator Pavilion will be open on Monday, September 21 from 1:00 to 5:00 pm for set up. This is the time to make certain that everything is in place and that you have everything you need when the Pavilion doors open on Tuesday morning. The DEMO Team will ensure that all your furniture is in place: that electrical, telephone and Internet connections have been distributed and that any boxes you have shipped are delivered to your station before set up. We will be happy to assist you with any questions or problems that arise at this time.

Testing internet access on equipment – We strongly recommend testing your access with all equipment being used at the station during set up. This will prevent problems occurring when the Pavilion is open on September 22 when attendees are present. The DEMO Pavilion staff will have more time to dedicate to your questions and requests during set up.

Without exception, all demonstrator stations must be ready to go by 5:00 pm on Monday, September 21, 2009 as the Pavilion closes promptly and will not reopen until 10:45 a.m. Tuesday morning.

We will have experienced technicians available onsite to help you with any networking issues. However, you are responsible for the functionality of your own product.

Tear down

Tear down of your demonstrator station begins at 6:00 pm on Wednesday, September 23, 2009. Packing up prior to that time is prohibited. At that time, shipping containers stored for you by Freeman Company will be returned to your station. Please pack your boxes, label them and affix the appropriate shipping forms; the DEMO and Freeman Company staff will ensure that they are moved from your station back to the Freeman warehouse to be shipped out. Packing supplies will be limited. Packing your own scissors and tape avoids waiting for communal supplies and reduces the amount of time spent packing. You are responsible for payment of your drayage/shipping. Please see the Freeman Company section for more information. All demonstration areas must be vacated, with equipment packed and ready to ship, by 8:00 pm.

Please note: You are not required to ship your outbound materials through Freeman. You may also do it directly through the hotel. If you choose to use the hotel, visit the business center when onsite to make arrangements. For hours of operation and a detailed list of services, please call the hotel at 619-291-2900 and ask for the business center. All pick-ups through your preferred shipping company should be arranged after 6:30 pm on September 23.

Storage

Your Demonstrator Station

Freeman Company will arrange for storage of empty computer and shipping boxes during the conference. Be sure that boxes are clearly marked with your company name and station number so Freeman can return them to you promptly at the end of the conference. No boxes may be stored under your demonstrator station display. Also, do not bring personal luggage to the Pavilion. Please make arrangements with the hotel’s front desk for storage of luggage. Please see the Freeman Company section for more information on storage.
